Summary
Reporting to the Director US Business Development, the Office Administrator role is responsible for ensuring smooth daily operations of Gibson Energy’s Houston office by providing administrative support, managing office tasks, and by providing strong customer service to staff and visitors.

 

What You'll be Doing

  • Proactively recommend changes that enhances the work experience for the Houston office employees.
  • Coordinate incoming/outgoing mail including sorting and distribution.
  • Coordinate courier pick up and delivery as required.
  • Maintains the office setting in an orderly manner at all times.
  • Unpack and organize office supplies (stationary, coffee, etc.)
  • Scan invoices and manual checks and send to appropriate departments in Calgary.
  • Coordinate building access cards and office keys; assigning and collecting as required.
  • Greet and assist visitors/customers arriving at the office and ensure they complete sign in procedure and receive appropriate identification.
  • Responsible for keeping original fleet vehicle titles and sales documents in order.
  • Verify and code office-related invoices (office supplies, Brookfield Property) and forward for appropriate approval.
  • Handles and processes monthly Visa expense accounts (including tracking and reconciling accounts) for Directors located in Houston.
  • Organize and coordinator Houston office team events as required.
  • Schedule meetings, coordinate logistics, and order catering for meetings as required.
  • Demonstrates a personal commitment and proactive approach to Environment, Health & Safety (EH&S) through participation in all applicable EH&S programs and ensures safe operation of the branch, team or unit and compliance with all Company EH&S policies and procedures. 
  • May perform other duties as assigned. 

 

What You'll Bring

  • Minimum of 2 years of office administration experience
  • Intermediate knowledge and proficiency of Microsoft Office software programs (Word, Excel, Access, PowerPoint, Outlook, Internet Explorer).
  • Self-motivated team player with ability to recommend improvements to an effective office environment.
  • Strong organizational and prioritization skills.
  • Ability to handle several tasks at once with interruptions.
  • Strong interpersonal skills, able to relate to visitors and employees at every level.
  • Willingness to handle wide range of responsibilities.
  • Administrative Diploma/Certificate or secondary courses would be a definite asset.


Working Conditions

  • Majority of the work is performed in an office environment which includes computer work that requires sitting for prolonged periods of time. Some standing, walking and, minimal lifting.
  • Standard full-time work schedule (8 hrs/day Monday to Friday) in office.
